Office Manager

Minute Media is looking for a rock star Office Manager to join our great team in New York.

Role Responsibilities:

  • Supervise, support and coordinate all things office-related for 120+ employees

  • Be the face of operations across the US office

  • Support employees at all levels in local needs

  • Negotiate the purchase of services, office supplies, equipment, etc.

  • Responsible for the facility's day-to-day operations (cleaner / supermarket / mailbox/deliveries)

  • Provide executive administrative duties including meeting organization and set up, and a variety of tasks to better support senior management

  • Support on and off-boarding for all employees including organizing and purchasing equipment for new hires and collecting equipment upon termination - conducts orientation of new staff

  • Manage travel arrangements, flights, hotels etc.

  • Manage and coordinate space planning

  • Produce and execute company culture-building events and other welfare activities for the team

  • Ensure adherence to policies and procedures by staff members

  • Follow through on maintenance & IT agreements and contracts

  • Liaise with IT specialists to resolve problems

  • Manage and submit expenses for US office

  • Provide ongoing support to finance and HR in local needs

  • Support facility maintenance needs

  • Lead and execute all other ad hoc projects related but not limited to operations, office culture and office management

Desired Skills and Experience

  • 5+ years of experience in a similar job

  • Excellent organizational and planning skills

  • Excellent communication and interpersonal skills, outstanding team player, can-do attitude is a must

  • Service-oriented personality

  • Total ownership and high accountability

  • Proactive and takes initiative

  • Results-oriented person and ability to deliver high-quality results with attention to details

  • Multi-tasking capabilities - effectively work on multiple projects with multiple deadlines
